How I learn about new processes on the fly.

Ever found yourself in a workshop, trying to make sense of a complex business process—without a clear starting point?

I've been experimenting with AI-driven process discovery for the past eight months, and I've landed on a simple, repeatable technique that gives you a high-level view of any process in minutes. Whether you're gearing up for stakeholder meetings or refining workflows, this method will help you go in prepared.

Here’s how it works:

  1. Find a process in action – YouTube is a goldmine for this. Search for a video on how something is made or operates.

  2. Extract the transcript – YouTube has a built-in transcript tool. Copy the text (without timestamps) for analysis.

  3. Use AI to break it down – Paste the transcript into ChatGPT and ask for the main process stages.

  4. Drill deeper – Once you have the high-level steps, ask AI to expand each one into detailed activities. Bonus: Get AI to generate a SIPOC table (Suppliers, Inputs, Process, Outputs, Customers) for added clarity.

  5. Map it visually – Use your preferred process modelling tool (BPMN, Liberty Spark, etc.) to structure the insights for better analysis and communication.

I tested this with a manufacturing process for high-speed trains, and within minutes, I had a fully structured view without ever stepping into a factory. Now, imagine applying this to finance, insurance, customer service, or any other industry.
